DIGICO (“we”, “us”, or “our”) operates the Kairos booking and business management platform (the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website, create an account, or use the Service.

2. Information we collect
Account information. When you sign up, we collect your name, email address, business name, and subdomain choice. If you subscribe to a paid plan, billing details are processed by our payment provider (Stripe) — we do not store full card numbers on our servers.
Business data. As you use the Service, you and your team may store client names, contact details, appointment records, invoices, and other operational data (“Tenant Data”). You control this data; we process it on your behalf to provide the Service.
Usage and technical data. We automatically collect log data such as IP address, browser type, device information, pages visited, and timestamps to maintain security, diagnose issues, and improve the Service.
Communications. If you contact us for support, we retain the content of those messages and any information you choose to provide.
3. How we use your information
We use collected information to:
- Provide, operate, and maintain the Service
- Create and manage your account
- Process subscriptions and send billing-related communications
- Respond to support requests and send service announcements
- Monitor usage, detect fraud, and protect the security of the platform
- Comply with legal obligations and enforce our Terms of Service

Tenant Data you enter into the Service is accessible only to your authorised team members and to us as necessary to operate the platform. We do not use Tenant Data for advertising purposes.

We retain account information for as long as your account is active or as needed to provide the Service. If you close your account, we will delete or anonymise your data within a reasonable period, except where retention is required for legal, accounting, or dispute-resolution purposes.

We implement appropriate technical and organisational measures to protect information against unauthorised access, alteration, disclosure, or destruction. No method of transmission over the Internet is completely secure; we cannot guarantee absolute security.

If you are an end client of a business using Kairos, please contact that business directly regarding data they hold about you. We act as a processor of Tenant Data on behalf of our customers.

We use essential cookies and similar technologies to maintain sessions, remember preferences, and keep the Service secure. We do not use third-party advertising cookies on the platform application.
9. International transfers
Your information may be processed in countries other than your own. Where we transfer data internationally, we take steps to ensure appropriate safeguards are in place consistent with applicable data protection laws.
